CRM for Teams Overview

Each team member has their own CRM in One Good Card, and admins can view and manage all member CRM data from the Teams Admin Dashboard. This gives your team full visibility over contacts, leads, and deals without losing individual ownership.

One Good Card's built-in CRM is available to every member on your team from the moment they set up their profile. As an admin, you get a bird's eye view of your entire team's CRM activity, making it easy to track leads, monitor deals, and ensure no contact falls through the cracks.

How CRM for Teams Works

Every team member has their own individual CRM, which includes their personal contacts, leads, deals, groups, and companies. Members manage their own data independently.

As an admin, you can access and manage all member CRM data from the Teams Admin Dashboard. This means you can view any member's contact book, leads, or deals pipeline, and also assign them to other team members. 

Contacts

Each member's contact book stores everyone they have connected with via their One Good Card profile, whether through NFC tap, QR code scan, or manual entry.

As an admin, you can:

  • View any member's full contact list
  • See contact details including name, company, role, and communication history
  • Manage or export contacts on behalf of a member

Contacts are individual by default. There is no shared contact pool across the team, but admins have visibility across all members.

Leads

Leads are contacts captured specifically through a member's profile contact form. All form submissions are saved automatically to that member's Leads page, and the member is notified via Inbox and email.

As an admin, you can:

  • View leads captured by any team member
  • See the date a lead was created or closed
  • Click through to the associated company profile where applicable

This is useful for tracking which team members are actively generating leads and following up on inbound enquiries.

Deals Pipeline

Members can move deals across custom pipeline stages, assign deal values, and log notes against each deal.

As an admin, you can:

  • Assign custom team deal pipeline to members, so that all members are using a shared pipeline
  • View any member's deals pipeline
  • See deal stage, value, and activity across the team
  • Identify deals that have stalled or require attention

  • Encourage members to keep their pipeline stages up to date so your admin view reflects accurate deal progress across the team.
  • Use the Leads page to monitor which members are generating inbound interest from their digital business card profile.
  • Export CRM data regularly as a backup, especially for high-volume sales teams.
  • For members who are offboarding, export and reassign their contacts and deals before removing them from the team.

Can team members see each other's contacts or deals?

No. Each member's CRM is private to them, unless assigned by the admin. Only admins have visibility across all member CRM data.

Can admins edit a member's CRM data, or just view it?

Admins can view and manage all member CRM data from the Teams Admin Dashboard, including editing contacts, leads, and deals on a member's behalf.
